Job Summary
We are seeking a detail-oriented and proactive Sales Administration Staff member to support our Sales Engineers in handling administrative tasks and documentation. This role is essential in ensuring smooth day-to-day sales operations through accurate data recording, report preparation, and coordination tasks. The ideal candidate will have strong computer and communication skills, a good command of English, and preferably a background in engineering, particularly related to engines and generator sets.
General Responsibilities
- Maintain accurate and up-to-date records of all sales activities, including customer visits, meetings, and follow-ups, in both digital and physical formats.
- Prepare and update regular sales reports, tracking sales performance, revenue targets, market trends, and team activities.
- Manage and monitor project pipelines, customer leads, and business opportunities using CRM tools or internal systems.
- Assist Sales Engineers in drafting and formatting quotations, proposals, and tender documents.
- Coordinate with internal departments (e.g., admin, logistics, finance) to support sales order processing and timely customer delivery.
- Support the preparation of PowerPoint presentations and sales materials for internal meetings, customer pitches, and management reviews.
- Organize and maintain a filing system for sales documents such as contracts, invoices, client correspondences, and technical materials.
- Schedule and coordinate customer appointments, internal sales meetings, and follow-up reminders.
- Conduct basic research on potential clients, competitors, and industry trends to support sales planning.
- Help maintain the customer database to ensure accurate contact information and activity history.
- Communicate effectively with clients on behalf of the sales team to follow up on documents, arrange meetings, or clarify information.
- Provide administrative support for expense reporting, travel arrangements, and scheduling for the sales team.
- Handle ad hoc duties and special projects as assigned by the Sales Manager.
Functional Skills and Knowledge
- Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook).
- Good command of English in all four skills: listening, speaking, reading, and writing.
- Strong organizational skills and attention to detail.
- Familiarity with engineering products, especially engines and generator sets, is preferred.
- Ability to work independently and collaboratively with a sales team.
Education and Work Experience
- University Degree (Engineering degree is strongly preferred).
- Minimum 3 years’ experience.
- Prior experience in sales administration or support role is a plus.
