Job Summary

The Assistant Procurement supports the procurement department in sourcing goods and services, processing purchase orders, maintaining vendor records, and ensuring timely delivery of materials. This role involves coordinating with suppliers, tracking orders, assisting with contract management, and ensuring compliance with company procurement policies. The Assistant Procurement plays a key role in helping the team operate efficiently, reduce costs, and maintain strong supplier relationships.

General Responsibilities

  • Assist in Sourcing and Purchasing : Support the procurement team in identifying suppliers and obtaining quotations and process purchase orders in accordance with company policies.
  • Vendor Coordination : Communicate with suppliers regarding pricing, availability, and delivery schedules and maintain positive relationships with vendors and follow up on outstanding orders.
  • Maintain accurate procurement records, including purchase orders, invoices, and delivery receipts are properly filed and accessible.
  • Administrative Support : Prepare procurement reports and summaries as needed.
  • Compliance and Policy Adherence : Ensure procurement activities comply with internal policies and external regulations. Assist in reviewing contracts and supplier agreements for accuracy and compliance.
  • Data Entry and System Updates : Enter procurement data into procurement systems. Update supplier databases and product catalogs regularly. 

Functional Skills and Knowledge

  • Demonstrate basic knowledge and understanding of the business and industry
  • Demonstrate basic knowledge and hands-on experience in supply chain management/procurement/contract management/vendor management
  • Proven hands-on experience handling SAP and enterprise resource planning (ERP) system (preferred)
  • Demonstrate basic research and analytical skills
  • Demonstrate fluency in local language and ideally in English, both written and spoken
  • Demonstrate appreciation and respect for cultural sensitivities especially in international/cross-cultural interactions
  • Demonstrate proficiencies in office productivity tools (e.g. Excel, Word and PowerPoint)

Education

  • Any bachelor degree.

Work Experiences

  • Up to two years' experience in a similar role in procurement or supply chain management.
