Job Summary
General Responsibilities
- Manage and monitor service contracts and annual renewals for office and warehouse facilities.
- Manage fire safety records and coordinate annual fire inspections, and monitor monthly generator maintenance at warehouses.
- Manage GPW Leave and Employee Expense Claims (EEC) for Central Service employees without DKSH email access.
- Manage Group Personal Accident Insurance for all employees and oversee insurance for company and rental cars in accordance with company procedures.
- Manage consumables stock for all Business Units, prepare monthly reports, and support logistics for company events.
- Manage front office operations including visitor screening, call handling, correspondence control, courier coordination, and customer complaint reporting.
- Set up fingerprint access for new employees and prepare monthly fingerprint attendance reports for assigned Business Units in line with HR payroll timelines.
- Support operating expense control and non‑trade procurement planning, manage E‑Procurement and E‑Bidding updates with PR follow‑up, and handle GAPIM system data entry for approved purchase requests.
- Conduct supplier market research and manage vendor evaluation, selection, contract drafting, negotiation, and renewals; coordinate with suppliers to ensure quality, accuracy, and timely delivery, while maintaining purchasing records, tracking orders, validating invoices, and supporting the payment process.
- Support SHE implementation in line with DKSH global policies and local/international standards, conduct regular safety, health, and environmental inspections with corrective actions, and collaborate with cross‑functional teams to ensure legal and regulatory compliance.

Functional Skills and Knowledge
- Demonstrate proficiencies in office productivity tools (e.g. Excel, Word and PowerPoint)
- Demonstrate fluency in local language and ideally in English, both written and spoken
- 3 to 5 years’ experience in administration or office management and 3 years’ experience in a similar role
Education
Bachelor’s degree in business administration or related field.
