Title: Coordinator, Sales Administration Support

Job Summary
Provide timely and effective administrative support to the sales team and overall business objectives
General Responsibilities
- Support superior in managing day-to-day operating expenditure against operating budgets to ensure efficient usage of resources. The key areas are to coordinate with internal and external parties to provide clerical support on:
- Inbound supply chain – from purchase ingredient/materials to payment. Related parties are client, custom clearance, sales, Account Payable and related
- Outbound supply chain – from order to collection. Related parties are Customer, sales, supply chain warehouse and logistic, Account Receivable
- Regulatory support – Contact with client, customer, sales, regulatory affair and related
- Inventory Management; to compose and provide an inventory status report to sales and management; and closely follow up with sales team to ensure well inventory management
- Update content/changes to organization’s administration and support services policies and procedures on a periodical basis
- Support activities related to administration and support services delivered to business operations in accordance to agreed service level standards
- Assist superior in implementing continuous improvement activities on administration and support services delivered to operations
- Collate, document and prepare reports on budget, cost control administration and support services delivered
- Support superior in executing tracking tools and generating periodical reporting on effectiveness of administration and support services offered
- Provide administration support on department initiatives and programs
- Record findings and prepare maintenance reports (e.g. office supplies, office equipment inventory details, tender documentation, etc.)
- Escalate complaints and requests raised by employees/departments to superior
Functional Skills and Knowledge
- Demonstrate basic knowledge of principles and techniques of administrative management (e.g. lean 6-sigma best practices, etc.)
- Demonstrate basic analytical skills and attention to detail
- Demonstrate basic experience in analyzing data and understanding business implications
Education
Certificate/diploma in business administration, or equivalent
