Job Summary
To provide high level and efficient administrative support, which requires tasks and responsibilities judgment to ensure day to day operations are well supported to the department. To create, develop and ability to work cooperatively with others in area of responsibility. Proactive and initiative attitude is required.
General Responsibilities
- Coordinate event delegates' sponsorship, managing aspects such as registration, accommodation, and travel requests prior event day
- Prepare agreements for speaker engagements, HCP sponsorships, and event sponsorships
- Create new vendor accounts for marketing events payments and facilitate engagement with new Healthcare Professionals (HCPs)
- Coordinate Accounts Payable (AnP) event payments, including submission, follow-up, and sharing payment advices with vendors when possible
- Prepare pre-event documentation including registration list , event checklist , speaker tent card and promotional materials
- Handle post-event documentation, including Continuing Professional Development (CPD) submission and maintaining attendance lists.
- Manage Promats by liaising with external vendors for the receipt and delivery of materials to outstation representatives.

Assist to send out promotional material to sales representatives or branches upon request

To prepare and assist marketing team to track VIP contracts / on-going campaign tracking.

Consolidate reports and tracking upon request on on-going campaigns , CME request tracking and patient program tracking (sales rep comply with the requirement)
Functional Skills and Knowledge
- Possess experience in Pharmaceutical industry would be an advantage.
- Demonstrate strong analytical and quantitative skills.
- Demonstrate proficiencies in Microsoft Office (e.g. Excel, Word and PowerPoint).
- Demonstrate fluency in local language and ideally in English, both written and spoken.
Education
- Possess Diploma or Degree in Marketing/Business Administration.
- Minimum 1-3 years experience in similar role.
