Title: Assistant Manager Distribution Center Operations

Job summary:
Covers all the warehouse operational matters including the security of the warehouse, occupational health and safety of the warehouse personnel, control of warehouse environment and the administrative functions in relation to the warehouse and relevant quality assurance related processes
Job Responsibilities:
Inbound
- To comply and ensure procedures are in compliance to the relevant Standard Operating Procedures (SOP)
- To release the arrived stocks for put-away to storage locations
Trade Return
- To ensure DC staff comply the TRA procedures are in compliance to the relevant Standard Operating Procedures (SOP)
- To ensure destruction activity was carry out as per schedule
Storage
- To ensure that the warehouse environment complies to the relevant SOP and to alert the Regional Manager on any deviations and to formulate actionable plans when required
- To be responsible for the physical stock count activity preparation and to ensure that stock variance value is within the guidelines in addition to the ad-hoc monthly cycle count
- To ensure all team perform their roles and duties regularly and promptly
- To ensure cleanliness for the storage areas and the warehouse area
- To ensure the maintenance of the equipment used is as per master schedule
- To ensure all cartons boxes have face labels
- To ensure stocks listing was updated and available at the racking / pallet
- To ensure that the 7S practice is in place
Outbound
- To perform the checking activity when required
- To perform life-saving emergency deliveries during non-working hours (when required)
Safety & Security
- To ensure that the security of the warehouse is in place and that unauthorized personnel are disallowed entry to the warehouse area. In the event that entry is required, the visitor shall be accompanied at all times
- To ensure rules, safety and security control procedures are properly implemented
- To responsible for carrying out the review rules, safety and security measures
Administration Activities
- To prepare individual staff’s job description and review annually
- To train new and existing staff on the relevant SOPs to enable the staff to carry out their duties and conduct themselves as per the relevant guidelines during work
- To ensure all trainees and employees complete all required training
- To ensure that the administrative activities comply to the given timeline and in accordance to the financial policies
Other Duties
- To be the person-in-charge (PIC 3) for the cold room as per the relevant SOPs. Refer to the attached PIC responsibilities on page 3 of 3.
- To be actively involved in the cost-containment of the warehouse operations and to revisit current practices and formulate new methods and means to further contain the warehouse cost if required
- To arrange for staff to be on planned schedule leave and to ensure that sufficient manpower availability at all times to avoid disruption to the operations
- To assess and evaluate potential and existing Vendor based on DKSH own performance, KPIs and business case expectation. To take corrective / preventive action if vendor fail to meet minimum performance standard
- To undertake any additional duties and responsibilities that may be assigned from time to time
Job Requirements:
- Minimum 3 to 5 years’ experience in a similar role
- Bachelor’s degree/Diploma/Certificate in Business Administration, Supply Chain Management, Logistics Management, or related field
- Computer literate, with the capability to use systems for information access and report functions
- Experienced in MS Office applications such as MS Word, MS Excel, MS PowerPoint
- Inventory controls and knowledge on impacts of inaccurate pick face. Able to ensure integrity of stocks is maintained and administered.
- Total quality of all operational duties to ensure accurate order picks and product receipts
- Profit drivers of warehouse activities and how best to utilized available resources
- Work on shifts and flexible hours to accommodate daily requirements
- Strategic planning of long and mid-term for departments and operations as a whole
- Operational review to provide a continual improvement process
- Customer service and impact of communicating with both internal and external customers to give accurate and timely information
- Ability to ensure sales orders completion and understanding of delivery concepts
