Job summary:

Responsible for coordinating all truck movements into and out of the warehouse to ensure smooth traffic flow, correct bay allocation, on-time loading and unloading, and timely vehicle departure. The role serves as the central control point between transporters, warehouse operations, security, and loading teams to minimize congestion, reduce turnaround time, and maintain safe and efficient dock operations.

 

Job Responsibilities:

1. Truck Coordination and Traffic Control

• Coordinate the arrival, staging, docking, loading, unloading, and departure of all inbound and outbound trucks.

• Direct incoming vehicles to the correct holding area, staging point, or loading/unloading bay based on operational priority.

• Manage bay allocation to optimize dock utilization and prevent congestion.

• Monitor truck queue status and ensure orderly movement within the warehouse compound.

2. Dock and Bay Management

• Assign trucks to the appropriate bays according to shipment type, route, priority, product category, and operational readiness.

• Ensure loading and unloading activities commence promptly once trucks are positioned at the designated bay.

• Closely monitor bay occupancy and turnaround time to avoid delays and bottlenecks.

• Escalate bay clashes, access blockages, or capacity constraints to the warehouse leadership team.

3. Timely Departure and Turnaround Management

• Track truck turnaround time from arrival to departure and take action to minimize delays.

• Follow up with warehouse, transport, and dispatch teams to ensure timely loading completion and release of vehicles.

• Ensure all documentation and operational clearances are completed before vehicle departure.

• Highlight delays, dwell time issues, and missed departure targets for immediate resolution.

4. Operational Coordination

• Act as the main coordination point between warehouse operations, transporters, planners, security, and dispatch teams.

• Communicate arrival schedules, bay status, loading readiness, and departure priorities to relevant stakeholders.

• Coordinate urgent shipments, priority vehicles, and exception handling to support service level achievement.

• Support daily alignment on expected truck volume, bay plan, and dispatch priorities.

5. Monitoring, Reporting and Documentation

• Maintain accurate records of truck arrivals, bay assignment, loading/unloading start and end times, and departure times.

• Prepare daily operational reports on truck movement, bay utilization, detention risk, congestion, and turnaround performance.

• Report any abnormal situation such as no-shows, late arrivals, documentation issues, vehicle breakdowns, or detention exposure.

• Analyse recurring delays and recommend improvement actions for traffic flow and bay planning.

6. Compliance and Safety

• Ensure all truck movements within the warehouse compound comply with site safety rules, traffic rules, and operational procedures.

• Work closely with security and warehouse teams to enforce vehicle entry and exit discipline.

• Ensure drivers are directed appropriately and do not park, queue, or move in unauthorized areas.

• Support housekeeping and safety compliance in staging and dock areas

 

Job Requirements:

• Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Transportation, Business Administration, Warehouse Management, or a related field.

• Equivalent operational experience in warehouse outbound, transport coordination, or dispatch operations may be considered in lieu of formal qualification.

• Minimum 3 to 5 years of experience in warehouse outbound operations, dispatch coordination, dock control, transport operations, or logistics execution.

• Proven experience in coordinating outbound truck movements and ensuring efficient bay utilization and timely vehicle departures.

• Strong operational exposure in a fast-paced warehouse, distribution centre, or logistics environment.

• Experience in working closely with warehouse, transport, planning, and security teams to manage daily dispatch flow.

• Prior experience in FMCG, contract logistics, or high-volume distribution operations is preferred.

• Practical experience in managing operational disruptions, turnaround time performance, and dispatch service levels.

• Exposure to WMS, TMS, SAP, or similar operational systems will be an advantage.

• Applicants must be willing to work in Sg Jati, Klang.
