Job Summary:
To raise TRA (Trade Return Advise) for all trade rejection.
Job Responsibilities:
- Check and verify that all invoices are properly received with the correct details (such as product information, quantity, price, etc.).
- Ensure accuracy in the documentation and avoid discrepancies in CN processing.
- Ensure that shipments are closed for the invoices received in a timely manner.
- Raise the TRA form (Trade Return Advise) and ensure the correct reason code and remarks are used for each rejection case.
- Provide accurate records of why items are rejected, ensuring transparency and compliance with internal procedures.
- Create TO (Transfer Order) on timely manner.
- Properly document and track cases involving third-party transporters to ensure correct handling of rejected items.
- Update the Rejection Report for all invoices received, detailing the status and reasons for rejection.
- Maintain an accurate and up-to-date record of all rejected goods for internal tracking and reporting.
- Submit the TRA form for approval by the LOA (Level of Authorization), ensuring that all required documentation and justification are provided.
- Create a Control List for all invoices handed over for processing.
- Maintain a proper filing system for all documents related to rejections, invoices, TRA forms, and other reports.
- Maintain a good working relationship with the team leader, fellow colleagues, and other related departments, such as logistics, sales, and receiving.
Job Requirements:
- Secondary school leavers or its equivalent
- At least 1 year of experience as a Clerk
- Maintain a good working relationship with department Supervisor / HOD, fellow colleagues and other corresponding department/s.
- Skill in identifying discrepancies, damaged goods, or missing items.
- Proficiency in entering data into inventory management systems or warehouse management system (WMS).
- Familiarity with inventory management systems (IMS) or warehouse management systems (WMS).
- Ability to quickly identify issues with rejection, such as quantity discrepancies or damaged goods, and take appropriate action to resolve them
- Strong verbal and written communication skills for coordinating with vendors, suppliers, and internal departments.
- Efficient time management skills to prioritize tasks and meet deadlines.
