Job Summary

Manage overall implementation and execution of HR operational services (e.g. policies, programs, processes and systems, etc.) to meet business objectives in partnership with business and HR teams

General Responsibilities

  • Payroll Data processing:

    • Verifying and Processing monthly payroll data and then provide those data to payroll team.
    • Controlling labor contract and appendix (including renewing contracts).

    System, databases management and reporting:

    • Being a competent user of all internal systems, to include our employee records system (SAP, local HR systems)
    • Updating and maintaining HR systems, records, and reports with accurate employee data.
    • Processing changes to employee's circumstances, including preparing accurate and effective documentation/communication and updating relevant databases, systems.
    • Processing monthly PEC reports for business projects, updating payment reports for accounting requirement, and ad-hoc reports as required by direct manager and regional HR team.

    Employee management:

    • Processing with the onboarding and off-boarding process to ensure the compliance with the guideline and procedures, including preparing accurate, relevant documentation and updating systems accordingly.
    • Following up to ensure employees complete the mandatory courses (COI, COC, Cyber Security, etc.).
    • Address employees’ queries (on compensation and labor regulations).
    • Running employees’ lifecycle surveys (On-boarding, Engagement, Pulse survey, 360-degree feedback, and Off-boarding survey).
    • Ensuring that the end-to-end HR process always supports a positive employee experience.

    New clients and projects on-boarding:

    • Together with direct manager consulting business managers on people matter for new projects, which includes personnel cost management, salary benchmarking, incentive scheme building and other employees’ benefits.
    • Presenting HR process, policy and employees benefits to clients and new projects’ employees.

    Expatriate Support:

    • Serving as the primary point of contact for expatriates, addressing their queries and concerns.
    • Facilitating smooth onboarding and offboarding processes for expatriates.
    • Providing ongoing support throughout the expatriates' assignment, including assistance with banking, healthcare, and local registration.

     

    Scope of Employee Relations

    Supporting Country HR Head/HRBP with the followings:

    • Partnering with senior business stakeholders and HR teams to develop and implement Employee Relations best practices and programs.
    • Handling employee complaints, managing grievance procedures, and facilitating counseling with other stakeholders.
    • Investigating and resolving complex or critical employee relations issues in a timely and effective manner.

Functional Skills and Knowledge

  • Experience in providing strategic, tactical and operational advice/support to mid to senior management.
  • Relevant experience in HRIS (SAP and Success Factors) would be advantageous.
  • Familiar with Vietnam Labor law / regulations to ensure statutory compliance/obligations.
  • Good command of written and spoken English
  • Minimum 1-2 years’ experience in a similar role

Education

Degree in Human Resources, Business Management or similar related discipline is preferred
