Job Summary

To oversee and manage all aspects of our e-commerce operations across 2 business units, including inventory management, order fulfillment, accounts receivable management, livestream technical operations, customer service, payment processes, and administrative tasks & other cost optimization project.

General Responsibilities

Inventory Management:

  • Oversee inventory levels to ensure enough stock is available to meet customer demand.
  • Manage stock replenishment and inventory turnover.
  • Implement inventory control systems and procedures to minimize shrinkage and waste.
  • Coordinate with suppliers and manufacturers for purchase orders and deliveries.

Order Fulfillment and Returns Management:

  • Supervise the order processing cycle from receipt to delivery to returns.
  • Ensure timely and accurate picking, packing, and shipping of orders.
  • Implement strategies to improve order processing efficiency and accuracy.
  • Resolve any issues related to delayed, missing, or incorrect orders.

Accounts Receivable (AR) Management:

  • Monitor accounts receivable and ensure timely collection of payments.
  • Handle invoicing and address any discrepancies in payments.
  • Work with finance to maintain accurate records of accounts receivable.
  • Livestream Technical Operations:
  • Manage technical aspects of live streaming events, ensuring smooth operations.
  • Coordinate with marketing and sales teams to plan and execute livestreams.
  • Handle troubleshooting and resolve any technical issues during broadcasts.

Customer Service:

  • Oversee the customer service team to ensure high levels of customer satisfaction.
  • Develop and implement customer service policies and procedures.
  • Manage and resolve customer inquiries, complaints, and issues promptly.
  • Monitor customer feedback and use it to improve service quality.
  • Payment Processes:
  • Supervise payment processing and ensure transactions are completed efficiently.
  • Implement secure payment methods and fraud prevention measures.
  • Coordinate with finance to reconcile payment records and address discrepancies.

Administrative Tasks:

  • Perform administrative duties to support the e-commerce operations team.
  • Maintain accurate records and documentation related to all operational aspects.
  • Assist in the preparation of reports and analyses to guide strategic decisions.

High level Solution Advise

  • P&L maintenance & support: drive the cost pattern to maintain sustainable P&L
  • Budget & Spending Control: to make sure all spending are proper to commercial plan & approved program

Team & Stakeholder Management:

  • Successfully coach, mentor, manage ecommerce operations team to successfully deliver on above responsibilities
  • Act as a point of contact between the company and e-commerce platform for operations related topics
  • Build and maintain strong relationships with partners and stakeholders.
  • Ensure client requirements are met and address any concerns promptly.

 

 

Functional Skills and Knowledge

  • Minimum two to three years' experience in similar role
  • Proven experience in e-commerce operations management, with a strong understanding of inventory, order fulfillment, AR management, and customer service.
  • Excellent organizational and multitasking skills.
  • Strong analytical and problem-solving abilities.
  • Exceptional communication and interpersonal skills
  • Proficiency in using e-commerce platforms, ERP systems, and other related software / SaaS
  • Ability to work with high level stakeholder with clear communication skill

Education

Bachelor’s degree in Business, Operations Management, Supply Chain Management, Financial Management or a related field.
