Specialist, Operations Support

Are you an experienced administrator with exceptional attention to detail and a knack for keeping things running smoothly? Do you enjoy working in a fast-paced environment where your organisational skills make a real impact? We are looking for a Specialist, Operations Support based in our Ellerslie office, to provide critical administrative and operational support to our Field Operations team.

You will be responsible for managing and maintaining key databases and systems, providing direct support to field teams, and ensuring the accuracy of payroll submissions and operational reports. You’ll play a pivotal role in ensuring our field operations run efficiently, supporting merchandising teams, liaising with managers, and handling critical administrative tasks.

Key Responsibilities

Field Operations & Merchandising Support

  • Act as the first point of contact for field staff, handling inbound and outbound queries
  • Assist merchandisers and field activation teams with in-store issue resolution
  • Coordinate with Field Managers regarding escalations and coverage options
  • Ensure the CRM system (Opmetrix) is up to date, including survey uploads and schedule maintenance
  • Manage and update call cycle changes and travel time schedules
  • Provide weekly project tracking and escalate issues to Client Management
  • Prepare and submit fortnightly payroll information, ensuring accuracy and timely submission

General Administration & Systems Management

  • Maintain Master Staff Lists and ensure all staff records are up to date
  • Oversee system maintenance for SharePoint, Opmetrix, and CRM platforms
  • Coordinate and distribute monthly Territory Manager and Merchandiser newsletters
  • Procure and manage inventory of operational materials, including uniforms, badges, and stationery
  • Provide office management support, including meeting and event coordination
  • Administer seasonal orders, ensuring timely dispatch and minimising excess stock
  • Manage invoice processing in Exceedra and update SKU pricing in SAP

Skills & Experience:

  • Strong administration and data management skills with a keen eye for detail
  • Excellent time management and ability to prioritise multiple tasks
  • Proficiency in Microsoft Office Suite and CRM systems (Opmetrix experience is a plus)
  • Ability to work autonomously while collaborating with multiple stakeholders
  • Strong problem-solving skills and ability to troubleshoot field issues
  • Good interpersonal skills, with the ability to communicate effectively across teams
  • A clean driver’s licence
